Our terms and conditions
If you do not understand the terms and conditions stated, please consult a ClasseTrotteur consultant or any other person of your choice to clarify the point in question before making your reservation. Making a reservation confirms your understanding and acceptance of the terms and conditions listed below.

 

Permit

ClasseTrotteur is a trademark of Voyages Traditours inc., which holds a general travel agency permit issued by the Office de la protection du consommateur. All passengers are protected by the Consumer Protection Act (R.S.Q., chapter P-40.1) and the Travel Agents Act (R.S.Q., chapter A-10).

 

Booking a trip with ClasseTrotteur

The details of the project are presented in a document called the proposal. This document details all the products and services that will be included in your program, as well as the cost based on the number of paying passengers and no-fee companions. Upon signature of the proposal, we will begin booking your package. An invoice is issued to your attention.

A deposit is due upon receipt of the invoice (see section on this subject). The invoice and accompanying documents are your contract. Check the details (rates, dates, services, products) to make sure everything meets your needs. Notify us as soon as possible of any corrections you wish to make. Upon payment of the deposit, we understand that the details listed on the contract are accepted by the customer.

 

Cost of trip

The cost of the trip is based on a minimum number of paying passengers, and a maximum number of accompanying persons free of charge. The price agreed between the school (responsible for the trip) and ClasseTrotteur for a travel package is therefore based on :

minimum number of paying participants
maximum number of free participants.
The agreed price will not change as long as both numbers are maintained.

 

Cancellation

Bookings may be cancelled at any time. However, cancellation may incur charges (see Cancellation section).

 

Deposit and final payment

Unless otherwise specified, the deposit must be made within 30 days of booking and must include the amount of travel insurance, if applicable.

All deposits are non-refundable and non-transferable unless the trip is cancelled by the organizer. In this case, the fees stipulated in the contract will apply (see group cancellations section). Participants must be notified by the trip leader.

Final payment is due no later than 60 days prior to departure date (non-air travel).

Any delay in payment of the deposit or final payment may affect the availability of the services offered and promised. Should the trip services change, the rate per paying passenger may decrease or increase depending on the choice of replacement products.

Individual cancellation for trips without air transportation *:

Individual cancellation is permitted up to 46 days before departure. The initial deposit is non-refundable. Insurance, service fees and amounts paid for theatrical performances or professional sports matches are non-refundable.
At 45 days or less before departure, no refund of amounts paid.
The deposit of a person who cancels his or her trip is non-transferable to a participant who would like to take his or her place.
Payment of the cancellation fee does not guarantee that the fare will be maintained for other passengers.
If the number of final paying passengers is lower than the number on which the fare is based, the price will be revised upwards according to the scale determined in the contract. Except in cases where the non-refunded amounts are equal to the amounts provided for the trip.

Individual cancellation for air travel *:

Individual cancellation is permitted up to 90 days before departure. The initial deposit is non-refundable. In addition, insurance and service charges are non-refundable.
At 89 days or less before departure, no refund of amounts paid.
The deposit of a person who cancels his or her trip is non-transferable to a participant who would like to take his or her place.
Payment of the cancellation fee does not guarantee that the fare will be maintained for other passengers.
If the number of final paying passengers is lower than the number on which the fare is based, the price will be revised upwards according to the scale determined in the contract. Except in cases where the non-refunded amounts are equal to the amounts provided for the trip.
∗ If the customer purchases products that are not refundable by the supplier (e.g. professional baseball tickets), ClasseTrotteur will advise you at the time of purchase that these amounts are non-refundable at all times. These amounts will then be added to the cancellation fees stipulated in the agreement.

 

Group cancellation for trips without air transportation *:

All package cancellations may incur fees. At all times, service charges will be retained

60 days or more prior to departure: full refund, less service charges *.
59 to 46 days prior to departure: refund of 50% of the total invoice, less service charges.
45 days or less before departure: no refund
No refund after departure.

Group cancellation for air travel *:

All package cancellations may incur fees. In all cases, service charges will be retained.

Deposit non-refundable at any time
89 to 46 days before departure: refund of 50% of the total invoice, less service charges.
45 days or less before departure: no refund
No refund after departure.
∗ If the customer purchases products that are not refundable by the supplier (e.g. professional baseball tickets), ClasseTrotteur will advise you at the time of purchase that these amounts are not refundable at any time. These amounts will then be added to the cancellation fees stipulated in the agreement.

Travel insurance

We believe it is very important that all passengers on your trip be insured to protect them in the event of unpleasant or unforeseen circumstances. In offering you insurance, ClasseTrotteur acts as a distributor within the meaning of the Act respecting the distribution of financial products and services (R.S.Q., c. D-9.2).

We offer medical, cancellation and comprehensive insurance. Ask your advisor for details and rates.

 

Unused service

No refunds will be made for services not used during the trip.

 

Tours and excursions

ClasseTrotteur reserves the right to modify your itinerary according to availability at the time of booking.

 

Gratuities

Unless otherwise agreed in the contract, gratuities to guides and drivers are not included.

 

Lodging

Rooms normally consist of two double beds with private bathroom. Unless otherwise specified, four students per room and two accompanying adults per room. These standards may vary according to the region of the world visited.

The client acknowledges and agrees to take possession of his or her room between 2 and 4 p.m. and to vacate it by noon.

ClasseTrotteur cannot guarantee a special location, a grouping on a single floor or a particular view, as only hoteliers have the privilege of distributing rooms to travelers. However, we will make every effort to accommodate you. You can help us by submitting your room list 60 days before departure.

 

Advertising and use of images

Each participant consents to the use of his or her name, video image or photograph in ClasseTrotteur advertisements and promotions. In perpetuity and without compensation.

 

Luggage

ClasseTrotteur and its representatives assume no responsibility for loss, theft or damage to your baggage and personal effects; baggage and personal property are at all times the responsibility of the passenger. For trips requiring air transportation, we strongly recommend that you purchase luggage insurance. Furthermore, ClasseTrotteur is not responsible for excess baggage weight. The customer must always check with the carrier.

 

Required documents

For travel outside Canada, proof of citizenship will be required by foreign authorities. The customer is solely responsible for the conformity of the documents presented. ClasseTrotteur is not responsible for any refusal of access to the country visited, and will not assume any costs that may be incurred by the refused passenger(s).

Air flight schedules

Airline schedules are provided for information purposes only and are subject to change without notice. ClasseTrotteur cannot be held responsible for any flight delays, changes or cancellations.

It is your responsibility to check flight schedules twenty-four (24) hours prior to departure and return, and to arrive at the airport in good time. In addition, airline seats are assigned at the airport by the airline’s counter agent, and ClasseTrotteur has no control over them.

 

Change and/or correction of name and/or destination

For air travel, it is the traveler’s responsibility to give the real name indicated on his/her passport (first and last name) at the time of booking. For any change and/or correction of name and/or destination, charges may apply depending on the destination. Airline tickets are not transferable under any circumstances.

 

Carrier fuel surcharges

ClasseTrotteur reserves the right to modify the fare up to 30 days prior to departure in the event of a fuel surcharge by a carrier.

 

Exchange rates / GST and QST

ClasseTrotteur reserves the right to modify the tour price up to 30 days prior to departure in the event of an increase in the exchange rate, provided that the exchange rate applicable 45 days prior to the date of provision of services has increased by more than 5% since the date on which the contract was concluded.

ClasseTrotteur also reserves the right to modify the tour price up to 30 days prior to departure in the event of an increase in the Quebec Sales Tax (QST) and the Goods and Services Tax (GST).

 

Passenger responsibility

Any passenger who registers for one of our trips accepts the conditions and policies of ClasseTrotteur. In the event that a passenger engages in conduct prejudicial to other travelers or service providers, and that, despite a formal warning from the ClasseTrotteur representative, the passenger persists in such conduct, the passenger will automatically be expelled from the trip. All costs and losses incurred as a result of such conduct will not be reimbursed.

In addition, travelers are responsible for being sufficiently healthy and self-sufficient to undertake their trip, and for carrying a sufficient quantity of all necessary medication with them at all times.

 

Responsibility of ClasseTrotteur

The passenger waives in advance all claims against ClasseTrotteur for any injury, loss or damage for any reason whatsoever, caused by any person who will be called upon to render services or provide accommodation during the entire trip in Quebec, Canada and abroad.

ClasseTrotteur reserves the right to cancel, change or modify any part of the trip.

ClasseTrotteur cannot be held responsible for claims, losses, damages, expenses, delays or loss of enjoyment resulting from an event of force majeure beyond its control (labor dispute, strike, social unrest, terrorist acts, conflict, blockade, quarantine, adverse weather conditions, natural disasters, mechanical breakdown, government constraints) or any other fortuitous event beyond the control of both ClasseTrotteur and its suppliers. ClasseTrotteur will make every effort to offer equivalent services. Passengers will not be entitled to any claim and/or compensation for loss, damage or physical or mental injury resulting from such changes. All such losses or expenses shall be borne by the passenger.

Passengers may not, without prior agreement with the organizer, change the course of their trip. Any unauthorized modifications will be entirely at the passenger’s expense, and the passenger will not be entitled to reimbursement for any services or accommodation not provided as a result of such modifications.

 

Interpretation and jurisdiction

The present contract and all the clauses it contains, as well as any dispute that may arise between the parties in any respect whatsoever, shall be governed by and interpreted in accordance with the laws applicable in Quebec; the parties choose the district of Montreal as the forum having jurisdiction for the settlement of any dispute that may arise between them.

The provisions of this contract shall be read in conjunction with each other. The cancellation of any or all of the clauses stipulated in the present contract will not have the effect of cancelling or invalidating the present agreement entitled General Conditions.
